Key Purpose of Role

  • To act as a support system to the Sales Department by administering sales information and further administrative duties for the Sales Department.
  • To be involved in a scope of duties to enable the department to respond effectively to the requirements of the company.

Key Duties/Responsibilities

Provide administrative assistance to The Sales Director, Sales Managers and Sales Executives, producing letters, memos and general administration duties for the Sales Department including:

  • Prepare weekly sales information packs for the leadership team.
  • Reporting all previous week’s activity to the financial controller with a deadline.
  • Process Disclosure of Incentive forms.
  • Maintain company CRM – ensuring accurate recording of data and events.
  • Supervise department paperwork & reports to uphold required standards.
  • Coordinate the distribution of price lists internally.
  • Administer the ordering of uniforms and other items.
  • Collation of Marketing resources for developments.
  • Liaise with internal shareholders to resolve any queries.
  • Process payment requests.
  • Produce customer completion statements timely and accurately.
  • Reception assistance as required.
  • Be proficient in the use of the company CRM to aid/train users with the sales team.
  • Assist with the preparation of the monthly board report.
  • Support other departments with relevant information as requested.
  • Collate invoices for Sales Managers to sign and pass to accounts or relevant team.
  • Manage People Safe devices.
  • Fully comply with company policies, procedures, and instruction at all times.
  • Contribute ideas to improve or build upon current procedures.

Person Specification

Experience

  • Experience within a housebuilding company in a similar role (desirable).

Key Knowledge & Skills

  • Computer literate on IT systems – intermediate Excel knowledge would be advantageous.
  • Excellent communication skills.
  • High attention to detail.
  • Excellent numerical skills.
  • Methodical and highly organised.
  • Able to work well under pressure and effectively manage own workload.
